Feature Proposal for Outlook - Dynamic mail address list
I would like to propose a new Outlook feature named „dynamic mail address list”.
Many companies and other communities are using a mail based communication approach e.g. to coordinate project related tasks.
Mail address lists are typically defined statically and include many receiver addresses.
A specific mail for a dedicated subject is then distributed to a large number of mail addresses but many receivers of the mail are not interested in this specific subject. Subsequent mails for the subject are always distributed to all mail addresses again. Checking mails is in general getting more and more inefficient for individual users.
Adding relevant persons which have to be involved in a specific subject (mail thread) is only possible by sending an additional mail to the whole address list.
Outlook should offer a feature to maintain “dynamic mail address lists” for a temporary time. The first mail containing a specific subject would always be sent to all addresses of a used mailing list.
An individual receiver of the mail who is not interested in the topic can use the new Outlook feature to remove himself from the “dynamic mail address list”.
A receiver who identifies the need to add additional stakeholders can use the new Outlook feature to add additional mail addresses.
The “dynamic mail address list” should be maintained on the Outlook Server and it should be related to the “originator mail address of the initial mail” and the “subject of the mail”. Changing the “dynamic mail address list” (add, remove) should not trigger new mails.
The new Outlook feature should allow the creation and deletion of a “dynamic mail address list”. Creation could be triggered if a first mail receiver requests to remove his mail address from the list.
Remark: Microsoft engineers may find better mechanisms.
I think that this or a similar feature would help Outlook users to better manage their daily mails.
